Being a cloud-based system, the integrated solution needs to employ the latest web-based technologies and adhere to strict compliance regulations. As one of the largest cloud-based projects for the firm, Mills & Reeve evaluated the major solutions on offer through an extensive process and selected Sysero as their partner to build a seamless document production environment in conjunction with their in-house development team.

Sysero’s iManage Work 10 integrations will enable Mills & Reeve to build, manage, and maintain document templates that integrate seamlessly with the firm’s in-house systems. Using Sysero’s low-code designers, non-technical subject matter experts will be able to build and maintain templates without the need for dedicated experts or extensive IT support. Sysero also will partner with Mills & Reeve’s in-house development team to integrate the template management system with the firm’s case management, CRM, and other internal technology systems.

As an iManage technology partner, Sysero’s solutions both integrate and extend the value of iManage products to enable customers to progress their iManage journey.

As an iManage Universal Application, Sysero’s Workflow System adds integrated workflow capabilities to iManage Work 10 in both on premises and on Cloud configurations. As of August 2022, more than 92,000 iManage users have moved to iManage Cloud, creating the need for iManage applications that adhere to iManage Cloud’s strict security and compliance standards.

Using Sysero’s Workflow System, iManage users can build, manage, and maintain critical process workflows that integrate seamlessly with their iManage systems. Sysero’s visual workflow designer makes it easy for non-technical users to quickly create workflows, which can be integrated in three key ways:

  • Workflow enabling iManage documents: Users can select individual documents or entire folders and send them into Sysero workflows. Initially, the workflow can pull profile information from iManage with additional data integrated into the workflow from Accounting, CRM and even external systems. This creates a 365-degree view of the document, which can be used in processes such as invoice approval, responding to client information requests, claims management and new client onboarding. Additionally, Sysero’s dashboard facilities allow users to allocate and track work as documents progress through various workflows.

  • Template Management and Advanced Document Creation: As a new client interface, iManage Work 10 no longer supports traditional template creation methods. With Sysero, subject matter experts can create templates without the need to understand programming or Word scripting.  Sysero provides a user-friendly tool that can be used to produce both simple stylised templates for letters, memos etc, through to the advanced automation of transactional documents.

  • Pre-iManage Approvals Processes: In order to file documents into iManage, the correct Workspaces and folders need to be created.  In situations where this information has not been created, such as in new client intake/KYC, Sysero can be used to collect documentation and go through due diligence processes before being uploaded to iManage at the appropriate time.  The use of workflows also allows time critical processes to create reminders to in-house staff and external parties to prevent SLA’s becoming breached.

The integration between Sysero and iManage adds a dynamic new environment that builds on the strengths of a world-class DMS.

Sysero’s Visual Workflow Designer is a brand-new visual tool that allows Sysero users to automate operational processes by creating custom workflows using powerful flowchart features. The user-friendly interface and drag-and-drop functionality enables users to quickly and easily build start-to-finish workflows, without the assistance of IT. 

As legal clients’ expectations shift, lawyers need the ability to quickly model business processes and build digital solutions for their clients. With Visual Workflow Designer, non-technical lawyers and staff can adeptly design and automate workflows in real-time. Visual Workflow Designer leverages Sysero’s form designer to enable users to define the information they need to capture as part of a workflow - such as client information or transactional information - and group these into sections. Users can then design the form directly from within the workflow builder. 

The information captured via forms can then be used to map a decision tree within the workflow. For example, based on certain criteria provided in the form, a firm may decide whether the work is appropriate to take on, and route to either a “yes” or “no” workflow. Users can add even further logic to create sophisticated rules-based automated business processes. 

In addition to leveraging the power of Sysero forms, Visual Workflow Designer seamlessly integrates with Sysero’s market-leading document automation and knowledge library tools, providing users with a comprehensive toolset. Users can build template libraries for documents that may be required as part of workflows and populate those documents with information gathered via workflow forms, providing users with a streamlined approach to creating everything from simple legal documents to sophisticated custom contracts.

The EU Money Laundering Directives, combined with an increased focus on data protection, requires law firms to create structured and documented processes for capturing client information. Arntzen de Besche will use PSA Consulting’s Custodian Onboarding Solution, powered by Sysero’s automation technology, to streamline client onboarding and acceptance.

“We have been looking for a solution that could improve our Anti-Money Laundering process and integrate the client onboarding process with our ERP system,” says Geir Taule Dotzler, Chief Financial Officer at Arntzen de Besche. “Custodian Client Onboarding enables us to align the system to our workflow, and we believe it will improve the quality of our customer data and the Anti-Money Laundering process.”

The new digital onboarding solution will use a built-in risk matrix to automatically assess a new client against Money Laundering Act requirements. Every step of the process will be documented for internal quality control and compliance protection.

Compliance with the General Data Protection Regulation (GDPR) and the Money Laundering Act continues to be a key concern for the modern law firm, and firms must ensure they follow appropriate compliance procedures. Simonsen Vogt Wiig’s new digital onboarding solution, developed in partnership with Sysero’s Nordic implementation partner PSA Consulting, will leverage cloud-based workflow automation tools to enable manual intake processes to be fully automated and managed, reducing acceptance time and compliance risk. The new client onboarding workflow will include a client scoring system that will formalise the evaluation of new business opportunities based on a pre-defined set of rules determined by the firm’s priorities, including professional risk, terms alignment and GDPR compliance. A risk profile will be created for each new client, allowing the firm to escalate high-risk clients for further review.

Compliance with the Money Laundering Act, combined with an increased focus on data privacy and protection, require today’s law firms to document controlled routines and processes. Oftentimes, this requires considerable internal time consumption and manual operation within multiple systems, which in turn, increases risk. 

Wikborg Rein’s new digital solution automates and streamlines the client intake process to reduce acceptance time, improve quality and ensure compliance with regulations. The new system, developed in collaboration with Sysero partner PSA Consulting, uses a built-in risk matrix to automatically assess a new client or case against Money Laundering Act requirements. Client information is automatically checked against various public registers and information databases and their identity authenticated through their Bank Identifier Code. All client data is stored (and deleted) in accordance with GDPR legislation.

Any client or case that falls outside the requirements is automatically routed to a simplified workflow for further assessment to ensure compliance and once approved, automatically created in the firm’s integrated internal systems. Every step of the process is documented for internal quality control and compliance protection.

COBALT is implementing Sysero’s cloud-based Document Automation technology to ease the workload of the firm’s lawyers by turning frequently-used documents into reusable templates that can be shared across the firm. The firm will use Sysero’s technology to enable its lawyers to turn frequently-used documents into re-usable templates that can be shared across the firm. PSA Consulting, Sysero’s Nordic implementation partner, is implementing the firm-wide solution.  

Sysero’s document automation workflow technology enables firms to automate any document-based process using a single application to mark-up document templates, create online forms and manage processes. Lawyers can complete documents by filling out dynamic, web-based forms created automatically from existing templates. Sysero also provides lawyers with the ability to automate documents and manage templates from within Microsoft Word.

Sysero, a leading provider of document workflow automation for professional services, today announced it has achieved ISO 27001 certification, the international standard for best practices in information security management systems. The certification affirms Sysero’s ongoing commitment to achieving the highest level of standards in data privacy and security.

To achieve ISO 27001 certification, Sysero underwent in-depth testing and assessment by a third-party auditor, QMS International (QMS) to validate its ability to not only prevent, but also defend against potential data system vulnerabilities. An annual audit will be conducted to ensure Sysero’s systems continue to meet the stringent requirements set out in the ISO 27001 standard.

ASHFORD, KENT – 6 November 2017 – Top-tier rated international law firm Wikborg Rein has partnered with knowledge automation experts Sysero, to develop and implement an integrated firm-wide knowledge management system, comprising a knowledge library, document automation and workflow management.

Wikborg Rein will migrate its most frequently-used templates from its existing knowledge library to its new knowledge base, where the firm will be able to automate its highest-value model documents using customised workflows. Completed work will automatically be stored and filed in the firm’s document management system so that lawyers can access the files, along with other matter related files, from anywhere on any device.

The new knowledge management system will help ease the workload of the firm’s lawyers by better leveraging internal resources and streamlining transactions. By integrating and automating internal knowledge, process management and document assembly, Wikborg Rein will be able to add greater value to its client relationships through increased responsiveness, faster turnaround and consistently high-quality output.
